Read the scenario below and complete the SLP assignment.
Your team is now in the third month of working on the training plan and documentation. You have 6 of the 9 chapters identified and have made fairly good progress.
Over the course of the team’s development a communication plan was adopted.
A dropbox was agreed upon and created to store all of the testing documents for the team. It was also agreed to save all files in PDF format for continuity. The primary means of communication for the team was agreed to be the company email so that all of the communication would be saved on the company server for security and historical purposes. A standard company template for training plan development was directed by the corporate communications team. It was also agreed to save each file in a standard naming convention with one’s initial and date as the last 6 characters. A weekly status meeting has been scheduled to provide updates and highlight any potential risks that may occur. The company chat application was also adopted for teammates to communicate and build a sense of togetherness and comradery.
You currently are experiencing some setbacks with Team Member 2. You have sent them several emails about their lack of response to testing procedures that they are responsible for. Without this input you cannot complete your portion of the document. Team Member 4 has been sending you Word documents containing testing procedures that are not in the proper format. This has caused you to fall behind having to correct the format and save the document into a PDF format. Team Member 1 has not met their quota for their assigned documents and has not been following the standard naming convention, wasting your valuable time in searching for the files and correcting their names. Team Member 3 has sent you an email containing project graphics using their personal email. Team Member 5 has suggested that the team have a separate meeting this week to go over the timeline and communication plan to review the team’s processes. There is open and honest communication within the team, and you feel very confident that the team will fix the current issues and meet the project goals and deadline.
For this SLP, submit a 2- to 3-page paper with at least two high-quality peer-reviewed scholarly sources found in the Trident Online Library that address the following:
Identify at least two communication and two task norms that operate in a team. Remember that norms can be “unspoken.”
What problems/limitations can you think of that a lack of norms could negatively impact a team's behavior?

Communication Norms
Communication norms can be broken down into four types.
Availability norms establish when people will be accessible, and how quickly they will respond to team needs. These norms will determine how often people check communication venues, the appropriate timeframe for response, and boundaries between an individual's work and personal time.
Appropriateness and use of collaboration tools norms ascertain what type of tools are used and for what purpose (see Module 3). They also cover rules of etiquette for using different types of tools.
Exchange norms determine when all members of the team should receive information, when just a subgroup should receive the information, or when it is preferred that individuals just communicate between themselves. Clear exchange norms can help prevent duplication and information overload.
Structure norms are concerned with whether formal or informal channels are preferred for different types of communication. Formal channels include scheduled meetings and teleconferences. Informal channels can include random e-mails and phone calls.
Task and Work Norms
Process norms set out a "lifecycle" for the team project. They insure that sufficient time is allocated to all stages of the team process—Idea Generation, Development, Finalization and Closure (see Module 1). Clear process norms help the team ensure that everyone will be working at the same stage, and facilitate assigning tasks and coordinating work.
Task norms help the team decide what is routine vs. nonroutine work. Routine work can be standardized and efficiency gained through the use of forms and templates. This frees up time and energy for nonroutine work where creativity and innovation is required.
Accountability norms set time frames for deliverables and establish consequences for failure to met obligations.
Resource norms shape how team members work on shared files. They control issues of work storage, updates, tracking, and security/confidentiality.
Review and approval norms influence how feedback is given, how often, and who has the authority to approve work. They often direct how often the group conducts "process checks" to review how well the team is doing at accomplishing its task in the most effective manner.

So far, the virtual team has maintained honest and open communication within the team. In that light, the current issues will be addressed, and the project goals will be achieved within the set deadline. For sure, having completed six out of the nine chapters required for the training plan and documentation shows good progress. However, the team needs to establish task and communication norms to overcome the problems it is facing and which might adversely affect the team's behavior.
Two Communication and Two Task Norms in a Team
Effective communication is vital in a virtual team and facilitates meeting the set objectives since members can work on their assigned tasks and ask for help when the need arises. The two primary communication norms that will help the team overcome existing challenges include the availability and structure norms (Marlow, Lacerenza, & Salas, 2017). In particular, availability norms will ensure that team members are accessible and that they respond when needed by the team, which has been the primary issue with Team Member 2. Moreover, structure norms will enhance setting up formal or informal channels to facilitate different types of communication. When established, it will be possible to correct problems emanating from specific team members to ensure consistency and uniformity.
The two primary task and work norms that should be implemented include the task and accountability norms. Specifically, task norms will facilitate work efficiency and standardization through the use of templates and other established procedures. Indeed, they will solve the problem with Team Member 4 for not using the right document format, Team Member 3 for using personal email to send project graphics, and Team Member 1 for not using the standard naming convention. Accountability norms are essential to ensure that all members complete their assigned tasks within set deadlines by establishing consequences for failure to do it.
