Secondly, the retention schedule should define the record within the local context and gives guidelines on the location of copy of the record both electronic and the hard copy. It also identifies the length of time the records will be stored and the owner department. Thirdly, is the consolidation plan that addresses purging of data irrespective of their record format. It also establishes a criteria for consolidation of systems and media types. The last step is the analysis of the records to be converted. It involves identification of records for conversion. It takes into consideration the record volume, location of the records, activity of the records, and retention period for the records and the relative importance of the records.
Scanning is entitled towards duplicating the same information of data but in electronic form where it is compatible with other electronic records stored in the devices. The hybrid data is presented in electronic form but the data should resemble its origin which is in paper form. Scanning process gives out an exact copy of the original in electronic form. Therefore, it's very similar in terms of content, authority and organization of the document. If the scanned document match correctly with the original source in paper form then the integrity of the hybrid data is observed.
