Workflow analysis aims to determine workflow patterns that maximize the effective use of resources and minimize activities that do not add value. There are a variety of tools that can be used to analyze the workflow of processes and clarify potential avenues for eliminating waste. Flowcharts are a basic and commonly used workflow analysis method that can help highlight areas in need of streamlining.
In this Assignment, you select a common event that occurs regularly in your organization and create a flowchart representing the workflow. You analyze the process you have diagrammed and propose changes for improvement.
To Prepare:
-Identify a common, simple event that frequently occurs in your organization that you would like to evaluate.
-Consider how you would design a flowchart to represent the current workflow.
-Consider what metrics you would use to determine the effectiveness of the current workflow and identify areas of waste.
To complete:
Write a 3- to 5-page paper which includes the following:
-Create a simple flowchart of the activity you selected. (Review the Sample Workflow of Answering a Telephone in an Office document found in this week's Learning Resources for an example.)
-Next, in your paper:
-Explain the process you have diagrammed.
-For each step or decision point in the process, identify the following:
-Who does this step? (It can be several people.)
-What technology is used?
-What policies and rules are involved in determining how, when, why, or where the step is
executed?
-What information is needed for the execution of this step?
- Describe the metric that is currently used to measure the soundness of the workflow. Is it
effective?
- Describe any areas where improvements could occur and propose changes that could bring
about these improvements in the workflow.

Workflow Diagram of Suggestion Taking and Processing from Employees
Introduction
In this ever globalizing world, streamlining and increasing work efficiency is almost always needed to keep up with the fast-paced world. Whether it be in operations, finance, or any other aspect of the workspace efficiency is always needed to keep up with the demands of clients and consumers. In this paper, the author have created a workflow analysis about a simple system at work about taking feedback and suggestions from the workers themselves. In some cases, seeking feedback for decision-making have always been left in the administrative level. However, according to studies, seeking feedback and suggestions about the SWOTs of the business is also important especially in the level of the regular employees. This is because they are the ones who are seeing the day-to-day pertinent operations of the workplace, and thus giving them a more in-depth of knowledge of what should be changed, improved, or bunked. This does not mean that the author of this paper believes that decision-making should be left to the employees, but still the author believes that getting their suggestions and ideas about certain things would be crucial especially for the continuous growth of one’s operations. Further in this paper, the author would discuss about the workflow diagram provided above. This discussion would include the possible pros and cons, as well as the requirements for the system change to happen.
Streamlining Feedback Mechanisms
In the workflow analysis provided above, it could be seen that there are three steps that the author has provided. Namely these three are: (1) Anonymous suggestion taking, (2) Processing and collation of the data, (3) provision of data for the executives and other management level employees. Let’s now break down this process into its different steps and analyze the amount of workforce that would be required as well as the technological systems that would be utilized.
In the first step, it could be seen that an emphasis has been given to the “anonymity” of suggestion taking. In the author’s opinion, this aspect of anonymity is very important because it would not hinder the employees from providing feedbacks just because they think that they might be terminated or treated badly just because their bosses didn’t want what they said. As according to Shriar (2017), anonymous employee surveys are important because it would allow for the better expression of one’s freedom of speech as well as increase the rate of response and accuracy of this feedbacks. By providing an avenue to express one’s opinions about his/her job and what they observe arou...
