Executive summary

Education is important to the growth of economies, which has seen governments invest heavily in it. Besides, the advancement in technology is changing the education sector and making it reliable and efficient. However, there are challenges that are faced in education and particularly students in universities. The majority of university students often fail to graduate on time because of missing a class or two during registration. Therefore, they later come to learn about it when doing preparations for graduation. In this light, there is a need for a system that could assist during registration and make it efficient. The confusion that often is present during the registration period makes it a challenge for students. However, the registration system would streamline the process, making it easy for students to register for classes. In addition, the students would be alerted to the classes they need to take to complete their course. 

To begin with, it will be imperative to conduct a survey amongst the students on the popular and hard to enroll courses. However, it will require a comparison of the top 10 courses that have the highest failure rate in registration. The importance of the project is that it will assist the student in reducing the costs of education because they will not spend more time on the classes they miss. In addition, the registration system will help the administration know in real-time the students that are registering for popular courses and, therefore, plan for any challenges that may arise. The questionnaires that will be used will be closed-ended because the questions will seek to know the experience that students have at the institution as far as their education is concerned. Lastly, the institution will have insight into the performance of different courses and plan accordingly by allocating resources according to the demand.

Description of Need / introduction

Registration in institutions has always had challenges that should be addressed but have not been highlighted to the management with solutions. To begin with, during the registration process, some students often want to move from one class to another due to various reasons such as late registration or lack of proper preparation for the class, given that some of the classes are demanding. It is during such periods that the registration gets tedious, and some of the students are carried away. Other than that, there is the issue of follow-up that often are conducted using emails. However, these follow-ups are not effective because students may fail to check their emails. Therefore, the registration process often is a challenge to the majority of the students, especially if they had not taken the exercise of orientation with the seriousness it deserves. So, the students end up not knowing what is required in the process.

A friend had messed up his graduation because he had missed two classes. He did not know at the time that he had not completed his course because, according to him, he attended all the lessons and done the exams diligently. He had never thought to recheck his course requirements to confirm if he was progressing well. However, a few weeks to graduation, he learned about the two classes missed, and he became depressed. He would spend long hours alone, and at one time, he opened up saying that life had no meaning because he felt that he was about to waste another year as the two classes were not being offered in one semester. Therefore, his experience shows the importance of having a registration system. Besides, some of the institutions have embraced the use of the registration system because of the challenges that have been present. If the problem is not sorted, then it could lead to a reduced number of students enrolling at the institution.

PROPOSED PROJECT DETAILS   

The aim of the project is to facilitate the smooth running of the Registrar's Office since it is vital to operations of the academic programs at the institution. Therefore, the development of a registration system would assist the Registrar's Office and the institution as a whole because it will help the students register their classes with ease. In addition, they will identify the classes that they need to attend for the course to ensure that they have fully completed it and qualify to graduate. Besides, it is imperative to note that students want smooth learning. Therefore, if the experience is unsatisfactory, the majority will likely transfer to other institutions. In the long-term, the number of students at the institution will reduce. According to Burnette (2013) having, a registration system assists in improving course completion for students. The registration system would facilitate control of information access. However, the registration system would mitigate that because the information would be both available electronically and backed on the cloud. Also, the time that would be taken to retrieve information about the classes the student has taken would be minimal. Columbia University in New York uses the registration and enrollment system that has seen the number of students enrolling at the institution increase by 12% since its introduction. When compared to this project, it shows that it has the potential of improving student turnover and attracting more. Therefore, both the student and the management would benefit from the system.

Justification of the study
There is a need to ensure that students utilize all their time property while they are in school, therefore, it is essential to ensure that students do not have to travel for long distances, make long queues and use more time collecting and filling forms and then move around the school looking for personnel who are responsible for signing these forms. Such issues in a school make cause more frustrations to the students and this would have negative implications for their performance. Facilitating the comfort at which one may complete the registration of courses may help the students to allocate more time to learning and in other personal issues. Besides, it is possible for students to lose a lot of lecture time particularly during course registrations as students are required to register the courses before they can attend classes. Most importantly, it is crucial for learning institutions to support the contribution that technology has on day-to-day activities and implements it to facilitate an efficient environment for learning. Having an effective registration system would help in getting rid of the ineffective paper-work system and this would also make it easy for other stakeholders such as the registrar to manage the effectively all details regarding the students’ academics.

Since education is critical and government agencies are always keen on ensuring that the required investments are made to help the students gain the knowledge, they require to become responsible individuals; the school administrators should make the changes required in their operations to ensure that the goals and objectives of their institutions are achieved. Most importantly, because technology has become a major element in how institutions handle their operations, learning institutions particularly universities are required to incorporate technology in its day-to-day processes (Estevez, Rankin & Silva, 2014). Usually, a registration system makes it possible for school administrators such as the registrar to monitor the students’ attendance in school. Most importantly, the integration of an online registration system in an educational institute is ideal because they provide a wide range of courses to thousands of students from different faculties. Therefore, registering students electronically, would be crucial in reducing paperwork and unnecessary costs.
A registration system may be regarded as an information system and it is critical in every organization because it helps in tracking performance and would also make it possible to forecast the future. Ideally, a registration system would also in promoting and facilitating business processes in learning institutions and it would also support the administrators in making informed decisions. Besides, a class registration system also promotes reliability since the school and the students can rely on it and also encourages availability because the users can access it anytime without making unnecessary long queues (Burnette, 2013).
