Communication management in a project is the process of keeping every stakeholder in the loop. According to Pelka (2019), the project management office has the task of defining the type of information that should communicate to the shareholders. The internal and external stakeholders have different types of information that they should understand regarding the project development. The internal stakeholders must be informed regarding resource spending. The internal stakeholders must know how the resources were spent and what more the project requires to complete (Pelka, 2019). Also, they must be communicated regarding the project’s goals and how the team plans to deliver the outcome. They should be updated regarding the project at each project step. On the other hand, the project team should inform the external stakeholders about the outcome they should expect and the time the project will end. They need to have clarity of how they will benefit from the project to help assess its success.
Communication of project information requires different tools depending on whether it is synchronous communication or asynchronous communication. Frovold et al. (2017) confirm that synchronous communication occurs when all the parties are involved in the exchange simultaneously. Such communication uses telephone calls, audio conferences, live meetings, video conferences, Instant Messages, and texting. On the contrary, asynchronous communication is the type that does not put all the parties together simultaneously (Eiya-Botwe & Aigbavboa, 2020). This kind of communication uses tools like fax, email, mailbox, project blogs, and really simple syndication (RSS).
Communication requirements and techniques can vary based on the stakeholder audience. Different stakeholders have different project needs.
