1. What differentiates a list of project requirements from a Work Breakdown Structure (WBS)?
A list of project requirements outlines the most vital steps necessary for undertaking any project. The list contains useful information regarding the scope of the project, start date, project environment, budget, resources, and boundaries of the work. It is only after understanding the items on the list of project requirements that project managers can move to the planning stage. On the other hand, WBS is similar to the list of requirements but differs in terms of details and content. WBS is more defined and detailed and focuses on how to break down the project into phases and levels. While breaking down a project into phases, WBS describes the fixed and variable costs of each phase and the tasks related to each stage. In large projects, WBS may display a list of related activities with major milestones and methods to monitor the overall project success (Sanghera, 2019).
2. What is the importance of developing a WBS to manage a project?
The main importance of creating a WBS is to reduce the complexity of the project by breaking it down to phases. This ensures that the scope of the project is well defined and every task is completed on time. Since WBS tasks are measurable, project managers establish WBS and use them to assign costs to each task. Assigning costs to each task enables project managers to dispense the project financial plan into particular packages, which ensures that the overall costs of all tasks is equal to the total cost of the project (Carstens, 2016). WBS tasks have clearly defined limits. Therefore, the project manager can track the progress of the project by determining which tasks are complete.
3. How does the WBS contribute to the success of a project?
For a project to be successfully completed, all requirements must be fulfilled. WBS does this by outlining all the necessary requirements that must be undertaken in a particular project. Description of necessary requirements forces project managers to plan everything regarding timelines, costs of each tasks, overall budget, and labor specifications. This leads to a comprehensive working plan that directs project managers and other employees how to execute the project. In complex projects, WBS alleviates that complexity by breaking down tasks into much more manageable project packages. It also sets up appropriate measures that thoroughly monitor the progress of the project and ensure that all tasks are completed as expected.
