The final project for the semester is a formal report, which will help an audience solve a problem or make a decision. It may be a proposal report, comparative analysis report, or feasibility report.

The Rhetorical Situation

For the purposes of this report, you should find a situation in which you are writing the report to a primary reader who has "commissioned" it as a result of the Proposal assignment and who has the authority to reject or use your work. The primary goal of your report is to convince this reader to adopt your solution or recommendation.

Audience and Style

Your report should be written directly to a person(s) within your real situation who has the authority to decide whether to accept your recommendations. Your tone should be appropriate to the situation-in most cases, it will be fairly formal.

Mechanics

The report should be flawless to show a serious and professional endeavor.

Length

Excluding front and end matter, your report needs to be as long as it needs to be, BUT, there is no way it could be less than eight pages (2000 words). I would prefer that you keep it under 20 pages (5000 words).

Front Matter

Title Page:  contains three bits of essential information

  • The title (which includes key words).
  • The name of the individual or organization to whom the report is being submitted.
  • The name of the individual (or group) who prepared the report and the date.
  • Graphics optional.

Table of Contents: 

  • All headings and subheadings should reveal the report organization with page numbers.
  • Table of figures optional.

Executive Summary:  A concise summary of the entire report including recommendations

  • The executive summary is generally about 10% of the total report.
  • Its structure should closely mirror the structure of the report.
  • It may contain no information not included in the report.

Body of the Report

Introduction:  Sets up the purpose of the report.  Establishes the context.

  • Restatement or modification of proposal problem statement.
  • May preview report’s contents.
  • Announces courses of actions studied and what you did to investigate them.
  • Provides whatever context is necessary for reader to understand the report.
  • Answers the question: “Why is it important for us to consider these ideas?”

Body:  Composed of several subsections detailing details of your recommended plan or discussion of issue.

For proposal reports, this will include:

  • Description and proof of the problem
  • Description of the proposed solution: how does it solve the problem
  • How will it be implemented; who will be in charge
  • How much will it cost, including approximate budget
  • Schedule of the major components of the project and when they could be completed

For comparative analysis reports, this will include:

  • Overview of topics compared
  • Definition and discussion of comparison criteria
  • Discussion of all topic/criteria results
  • Recommendations

 

Methodology:  Describes the research process. Details of primary research and its results.

Conclusion:  Summarizes findings.  Relates solution back to the purpose of the report.  Looks forward (if necessary).  Expresses goodwill.

End Matter

References:  Using APA or MLA format, documents the sources cited in the text as well as the sources you used to prepare the report.

Appendices:  Supplemental information including additional visual aids, sample research documents, outlines, schedules, and any other information the audience may wish to access. 

  • Each appendix should have an appropriate heading lettered consecutively (e.g., Appendix A, Appendix B…).
  • Wherever necessary, refer to appendices with the body of the report (e.g., see Appendix A).
