There are several malicious undertakings that can be achieved with the help of technology, and as aresult, data security concerns become integral. Data security policies can help reinforce the tech in controlling how personalized information, sensitive data, and even intellectual property are handled within an organization (Alshare et al., 2018). Conveying information on data security policies can sometimes become a difficult task, let alone the complexities that come along with the sensitivity of data specific to some institutions such as banks and healthcare facilities.
Emails are critical assets to an employee and the corporation, both for personal and professional purposes. A policy seeking to communicate the possibility of access and checking of employees' emails should be well communicated to capture all the requirements and expectations. Before the employees subscribe to the service, they should be made aware of all the policy requirements, providing them with detailed information on the need for access to their emails, the consequences of failure to comply, and the significance of the outcomes. The employees should also be given a chance to seek clarification, provide feedback, even decline the subscription if they deem inappropriate. Intensive education and training of employees on the subject matter will be of great significance.
