Instruction and interview document are in the attachment. Based on the interview, find 2 areas of significant improvement could be achieved(total needs 3 areas, but my teammate wrote one improvement about ECI automate). Based on the interview, write two areas of the communication system can be improved.

What is your occupation?


-   I am a full-time inventory clerk at CP Office Solution Inc. My job responsibilities include purchasing inventory and manage warehouse as well as book keeping detailed records.


How have you implemented the information system? Or how did you work with info systems (storage of data, how are data visualized)?


-   ECI automate are used manage day-to-day business operation, which is a business management software system to keep records of sales revenue and inventory purchase, service performed, accounting, and human resource. I mainly use the system for inventory purchase. When the company place inventory order from vendor, I would make purchase record in the system, the order date, total price purchased and how many inventories are purchased. When the orders arrived, I would place the inventory in the warehouse and the order will marked as complete in the system.


How have your company managed to use communication system? Provide some examples.


-   We mainly use phone, text message, WeChat and email as tool to communicate with colleagues. The ECI automate mobile application can notify technician with task and they are able to view it over the phone, but it cannot act as an online communication channel.


What are some of the challenges you experienced with communication systems?


-   One of the challenges is communication are all over the place, not unify as a whole, which tends to miss important message on one hand.

For any given business, communication is a very important process. Usually, information has to be passed from one individual to the other in order for necessary action to be taken and that would help the organization meet its goals. In this regard, a good communication system needs to be able to unify the employees and their employers through a convenient communication channel. The choice of the channel can also affect the process of communication. With this in mind, the company CP Office Solution Inc. has two major areas in its communication system where significant improvements could be achieved to the benefit of the business organization. Significant improvement can be achieved in the use of phones and emails as the main means of communication since these two contribute to the company’s non-unified communication.
The CP Office Solutions company could improve on its use of phones as a communication means. According to Pearson (2019), even though cell phones make it easier for people to receive important calls anywhere, these devices are also associated with disrupting the flow of work and encouraging the wastage of time. Notably, employees tend to use their cell phones to receive calls that are related to work or on personal issues. Either way, using the phone in the workplace will lead to a disruption in the flow of work since the employer will assume that the employees are readily available for any calls. Using phones will mean that employees will waste much time receiving and making calls instead of focusing on productivity and meeting the set deadlines. In addition, using phones in the workplace may often tempt the employees to spend some considerable minutes checking up .personal stuff on the internet especially those that they cannot search using the company computers. When this happens, a lot of company time is wasted hence affecting the overall performance and productivity of the company. Some employees may also take advantage of the available phones to harass their colleagues with inappropriate content through texts, or instant messages. Concerning this issue, Stotler (2017) suggests that setting up a call monitoring system would help the company limit the use of phones for personal issues and only look out for the very important calls and texts that directly affect the business. Instead of using phones as one of the main means of communication, the CP Office Solutions company can alternatively opt to use the Unified Messaging feature that allows employees to access the same information from a single portal.
The company’s use of emails as one of the main communication means is another area where significant improvement could be achieved. Inarguably, emails work best in situations that are less urgent and immediate feedback is not needed (Kokemuller 2019). This fact implies that m...
