Writing an Informal Report

Task: A recommendation report (in memo format) related to a problem students face at the University of Ottawa.  The problem could be the admissions process, the online registration procedures, poor course schedules, and inefficient bookstore, a course-or program-related weakness, the parking situation, food services, housing support, or something else you think is a significant problem for students here.  It might be a problem for all students, or just for international students.

1. Gathering Information: Investigate the problem based on your own experiences, on informal interviews or conversations with other students, and/or on things you have read. 

For today’s class, think of 2 or 3 questions to ask your classmates in your research. Write the questions below:

3. Writing your recommendation report.

  • Use memo format.  This memo-format will be addressed to Ms. Lucille Bordieu, University of Ottawa Student Advocate (a fictional individual). 
  • Use the indirect approach since you want to persuade the reader. (This is one version of the indirect approach for an analytical/recommendation report.)
  • In this report do the following in the order given: 

a)       Introduce the problem clearly and concisely. Discuss the background to the report (the reasons you wrote it) and the method of data collection; 

b)       State facts and describe your findings i.e., what you have discovered about the problem you identified;

c)       Discuss and analyse the findings/ data (in the table).  Include a graph of some kind to show the main findings; 

d)      Give some recommendations (at least 3) for improving this problem, based on the conclusions you have come to through the analysis of the data (in the table). 

e)       Use headings and listing where it is suitable. 


The report should be about 2 pages long.  Be clear, be concise, and be persuasive.

1 What do you think is the cause of the parking issue at the University of Ottawa?
Honestly, limited parking spaces have been a significant problem for many colleges and universities today, Ottawa University being one of them. The primary cause of this issue is the rapidly increasing number of students. Besides, the university does not expand the available parking space, which is the reason why it cannot accommodate the rising number of users.
2 What are the two primary reasons that hinder students from using cars when going to school?
First, students cannot afford to pay the high parking fees, which I think are set to discourage them from coming with cars to the school. Second, the limited parking lots make the majority of learners to use public transport. Overall, it would be inconvenient to use a personal car only to find that the parking space is fully occupied.
3 What can you recommend should be done to alleviate the parking problem at Ottawa University?
I think the university should expand the parking space so that it can accommodate more cars since new students join the institution every year. Besides, personal cars are the most convenient way for learners to avoid tardiness in their lectures. Moreover, the school should implement smart parking meters to control the parking space by limiting the number of hours that the car should remain there.
