A database is information that an organization collects and arranges in forms they can access later for their use. The information takes a format that is available for the user. Depending on the situation, there can be electronic and solid forms of databases. Some can be in print, some analyses and as some in a statistical format (Jeffreys, Ramesh, & Heikki, 2013). Each person may have their ways of organizing information for their benefits. A file system is the inclusion of information in several folders and giving the appropriate names.
One can retrieve information from these folders by just opening which they think they need. Peter, Carlos and Morris, (2013) indicate that structured databases differ from files because of their organized formats and ease of access to information. For etiquette and integrity, modern databases appear in easier-to-follow forms and afford to integrate better security on access. Files have no specific structure and can lead to several cases of duplication of information. Users may struggle finding the physical location of the information they need for a file systems.
A database management system is the electronic programs, majorly computer-designed for the management of databases. It has massive sets of data, run by the organizations like employees’ details, financial systems, and financial operations. In the end, one manages to store, access and use the data as they wish (Jeffreys, Ramesh, & Heikki, 2013). Different computer development companies come with software applications to manage databases efficiently. Examples are Microsoft Access, which one can integrate into SQL servers, Oracle and Microsoft Visuals.
The choice of a database management system increases from the ease and efficiency to get information and use. These features replaced the file system that took people a lot of time to organize and access. Updating information in a well-structured database is also an easy task for organizations not to miss. In a journal published in 2013, William, adds that there is concurrency, safety, reliability and proper management. Additionally, viewing of data is from a central point for a large number of users within an organization. In the old days, people struggled to know the physical locations of the data to access them. These reasons inform the need for a database.
Database managements have improved ways of handling information within an organization and workplaces are showing regards for modern database management systems. First, information sharing is easy and fast. Hosting managerial and other relevant information on a server that the authorized users can access improves on time management and reduces the stress to locate information. Irrespective of the location of an individual, one would only require the authorization and permission in the form of a password to get what they want (Peter, Carlos & Morris, 2013). An example is the banking sector where people can have access to their details from anywhere.
