It is important to read the "required readings" posted in the background material plus others you find relevant. Purchasing Insight (2012) indicated that there are five steps involved in the procurement process; defining the business need, developing the procurement strategy, selecting and evaluating supplier, negotiation, and award of contract, induction, and integration. When defining the business need, it is important to understand the primary requirement. Identifying the thin line between a requirement and a solution is crucial in order to achieve the objective of the procurement. Specialists’ advice may be required at this stage so that they can offer the best solutions. Getting the right product is critical and it necessitates the need to determine specifications so that need is fully satisfied when the product is finally purchased. Booth (2010) cautions that a poorly specified business need can create an opportunity for the suppliers to mould it to fit their capability and lack of clarity will deny the organisation the rigor to spot and stop it. A wide range of potential solutions and approaches to the business need could be available and therefore, developing a procurement strategy could help in researching the market and selecting a supplier depending on the scale of the project.
A formal tender process of an online auction is then involved in supplier selection and evaluation and the suppliers are matched to the solutions that were recommended at stage one. Some organizations have a well-established supplier program to guarantee efficiency at this stage while others have an approved vendor list. This makes it easier to select the best supplier from a limited list compared to calling for tenders from many unknown suppliers. For instance, Microsoft has Microsoft Supplier Program (MSP), which makes it easy for its employees to work with a select group of suppliers globally (Microsoft, 2012).
