Assessment Task 2 – Role Play + Report Assessment Task 2 – Role Play + Report Background information Manage use of information or knowledge management system You are the Learning and Development (L&D) Manager at Study Group Australia (SGA). You have just overseen the installation of a new Learner Management System to be used by the academic administrator to manage student, classes, results and lecturer information. The system was developed using Microsoft Access 2003. The existing system currently allows administrators to perform the following: - Enter classes (including class schedule information), instructors, departments, terms, year and units - Enter student information, including major, telephone number and grades - Enter assessment information, including assignment types and percentage grades - Produce reports such as class listing by departments, class results summary, results by assignment, results by students, class schedule and list of students The implementation plan requires that only Angela, the Academic Office Administrator is allowed to have access to the system to make entry, updates and deletions to data. Existing procedures also require assessors to submit to Angela results 14 days after an assessment is completed for entry into the system. Upon receipt, Angela will enter the results into the system, printout a copy and post it into the bulletin board for students to view. Your tasks: You are required to perform the following scenarios in the class: Role-play scenario 1 Angela was absent at work today due to health reasons. Today was also the due date for the results of the Programming class to be posted on the bulletin board. The Course Coordinator instructed Sheryl, the college Receptionist to access the system and produce the student results report. In a role-play, you are to counsel Sheryl and point out to the Course Coordinator that compliance to the security policies and procedures needs to be followed to ensure compliance. Role-play scenario 2 Angela, the Academic Office Administrator has just left the company and a new person has been hired to replace her. Once the administrator operating system login credentials are compromised, the data stored in the application can also be compromised easily. - No calendar features - No student messaging capabilities - Does not support Web-based access of information through a browser You reviewed the operational plan of SGA (see excerpt below) and it has become apparent that the existing system now requires replacement as it no longer supports the future direction of SGA. Organizations must accept the fact that information is on the increase and intensifying more rapidly than ever due to advances in technology (Ross, 2007). The presence of all old records which all need to be stored and saved while there are new records being produced added and updated daily gives a school the reasons to establish an effective database management system. Even organizations that few years ago saw no use or importance for a learner management system are now under pressure to establish even the simplest information system that will help them handle the data they need to store (Ross, 2007). In the school setting gives more challenges since whatever transpires between the students and their course instructors need to entered and displayed to avoid conflicts. Most learner management systems target one objective which is to take the information the company has and store it successfully (Garmany, et al., 2005). Consequently, retrieving and accessing that information back should be easy and quick and without any difficulty or complications. In addition, a school needs a feature that allows the access of information from one particular central locality where every aspect is controlled and handled from. Furthermore there is no use of information if its access is difficult due to the scattering to various disparate departmental systems in view of the fact that it will waste a lot of time to gather and make it difficult to manage (Garmany, et al., 2005). For a company, if the accounting, sales information, inventory, and liabilities information is all in different places the manager will face difficulties in making emergency decisions which must be appropriate and effectively (Ross, 2007). This calls for merging of the database to a central location. This translates to the school system where marks for students are always scattered in all departments where students will have to move all over to have access to all their results particularly when they are dealing with numerous departments. Learning Management System The learning management system should be very efficient in reducing all the stalemates that information handling is facing and produce a mechanism that creates ease of access and confidentiality of information. The learner management systems must also have feature that allow the capability to formulate statistical and data analysis, this will be very effective to the management especially in business make the most precise and suitable resolution as swiftly as possible (Garmany, et al., 2005).
